** Please make note that exhibitors must park in front paved parking lot (by old arena) when Fun Days are held in the Agriplex, due to conflicting events. Absolutely no parking or horses allowed in the fair ground/ball diamond areas on these days.

Clinics, Used Tack Sale, Designated Trail Rides, Poker Ride(s), any other bright ideas welcome! We need members input now in order to schedule our calendar of events for 2010.

Organizers are always looking for volunteers for the Fun Days. Don't forget that members must accumulate 10 hours of volunteer time in order to qualify for year end awards, and five of those hours can be garnered by attending club meetings. We need bodies to help out at events to keep this club going and growing!

Club Rules and Insurance require that all junior members must wear a helmet at all times while mounted on their horse at club functions. All members attending a show are required to wear a number at all times while mounted. Please familiarize yourself with club rules by obtaining them at a meeting, or the website. Fun Day Rules are posted at every Fun Day.

Club Meeting News
This section of the newsletter will be to inform you of what took place during the meetings, both executive and general.

Schooling Show - April 25th - Cancelled. Due to the Fuzzy Horse Show Heritage Qualifier being held the day before our event, it was decided to forego the Schooling Show for this year. It was noted last year that having these two shows back to back was detrimental to the numbers that would compete at our Schooling Show.

Winter Riding - February 28 & March 14 - 10 am - 2 pm - $10.00 Sr. $5 Jr. -drop in. Participants must bring proof of HCBC and must belong to the club. If you have not already joined both, you may get HCBC coverage and club membership at the event.

Clinics: A couple of the members are looking into organizing some riding clinics for juniors and seniors. Please bring all your information to the next meeting so it can be discussed and implemented. We are looking forward to hearing your ideas for more AERC fun!

Trail Rides - If there are any members who would like to set a date and location for a trail ride we will announce it in the newsletter.

Concession - If we have one person who would like to take on the running of the concession for the Fun Days that would be great! If not, then organizers of the Fun Days will be required to find a volunteer to take on this job. Carolyn Farris has agreed to purchase all items needed for the Fun Day Concession and store food and equipment at her place.

Chamber of Commerce - A motion was made and passed to renew the membership fee to CofC and donate $200 for the use of the building for our meetings.

Non-member Fun Day Fee - Will be $30 for the day, exhibitor must show proof of HCBC

Radios - Brad has kindly offered to check into replacement radios and chargers for the club and hopefully we will have a report for the next meeting on how the search is going.

Website: A motion was made and seconded to pay $25 per month for Anna Green to maintain and update our website. Anna will make every effort to post items that she receives from members ASAP. There has been a bit of a problem accessing the newsletters on the website, but this problem should be resolved soon.

Volunteer Hours/Awards Points - Carolyn Farris is taking on keeping the books this year. Please make sure you remit all volunteer sheets and Fun Day Results after your event. In a previous year Fun Day results were not turned in which resulted in some awards not being presented.

Chairperson - It was decided that all directors/executive will take a turn in running a general and executive meeting through the year.

Parks and Recreation: Parks and Recreation requested that one person in the club be responsible for booking events and signing contracts. Brenda will be responsible for setting up dates and contacting Parks and Rec if there are any changes or concerns. There was also concern voiced about the club getting 'bumped' from their dates. The club is looking into drafting a letter to be forwarded to the commission to clarify this issue.

Updated Membership List: Lori Corsbie, our Treasurer is out of town on business quite a bit, so if directors or an organizer of an event need a current list of members please contact Carolyn Farris or Ursula McHugh.

Judges Fee: A motion was made and seconded to increase the fee for the Fun Day judges from $60 to $75.

Exhibitors Numbers: (February meeting) Carolyn will order new numbers for our Fun Days.

Trail Gate: Carolyn should have a report from Armstrong Machine as to the cost and construction of our new trail gate. Once the new gate is completed it was discussed that the old gate would be possibly be sold by sealed bid.
Insurance: Capri Insurance is to forward a copy of AERC Insurance to Parks and Rec. Brenda will be checking to make sure they have received it.
Paperwork: All directors received copies of Fun Day/Show checklist, AERC Rules and Regulations, Constitution and Parks and Rec. regulations for their reading enjoyment over the next month. This paperwork will be gone through and discussed at the next executive meeting.

Volunteer Hours: A discussion was held on allowing non-members who volunteer to contribute their hours to the recruiting member, for a maximum of 10 hours total accumulated volunteer hours for the year. This issue will have to be brought forward for the AGM as it requires changes to the Rules and Regulations.

Trail Riding Log - Don't forget to keep track of the hours you ride throughout 2010 by jotting them down on a calendar. By submitting them at the December meeting you will qualify for the trail riding award if you log 100+ hours of pleasure riding.

South Central QH Clinic with Darhl Paley - April 25th Fairgrounds - 6 hours of instruction - 2 hours of horsemanship, 2 hours of Trail - TBA, 2 hours of Showmanship - TBA. These are the basics for Juniors, 4-H members and nervous novice. The rate is VERY reasonable and you can contact Carolyn Farris 546-6083 for more information.

Fund Raiser - Any members of the club who would like to accumulate volunteer hours and also raise funds for the AERC, have been asked if they could work at the Heritage Qualifier Show in July. This is a great way to get in your hours without interfering with participation in the club Fun Days. Please contact Carolyn Farris at 832-6083 if you can contribute a few hours at this weekend event.

This will be your last newsletter mailed if you have not renewed your AERC membership for 2010. Please fill in the email address on your membership form when you rejoin in order to receive your newsletter by email. Newsletters will be published monthly, mailed and emailed to members and will be accessible on the website.
